Documents & KYC Checklist

Correct documents mean faster clearance and fewer surprises. Here is a general checklist — our team confirms the exact list for each shipment and commodity.

Export documents

• Commercial invoice
• Packing list
• Shipping bill (filed by us on ICEGATE)
• Importer-Exporter Code (IEC)
• GST registration / LUT or IGST payment details
• AD code registration with the port
• Purchase order / letter of credit (if applicable)
• Certificate of origin (for preferential duty at destination)
• Phytosanitary / fumigation certificate (agro, wood products)
• Inspection certificate (EIC / buyer's agency) where required
• MSDS & DG declaration for hazardous cargo
• Export licence for restricted items (SCOMET, etc.)

Import documents

• Commercial invoice
• Packing list
• Bill of lading / airway bill
• Importer-Exporter Code (IEC) & GSTIN
• Insurance certificate (if CIF/CIP)
• Certificate of origin (to claim FTA concession)
• Product-specific approvals – FSSAI, BIS, WPC, CDSCO, Plant Quarantine, etc.
• Licence / authorisation for EPCG, Advance Authorisation or other schemes
• Technical literature / catalogue (for classification and valuation)
• Delivery order from shipping line / airline

KYC for new customers

Under the Customs Brokers Licensing Regulations (CBLR), 2018, a customs broker must verify the identity of every importer and exporter before filing. Please keep the following ready:

• IEC certificate
• GST registration certificate
• PAN card of the firm
• Address proof of the firm (registered office)
• Authorisation letter on company letterhead (format provided by us)
• KYC form signed by the authorised signatory
• ID proof (Aadhaar / passport) of the proprietor, partner or director
• Certificate of incorporation / partnership deed (for companies and firms)
• Cancelled cheque / bank details (for refunds and drawback)
